Event Policies

Mad Raven Productions is proud to host live action role playing interactives for the public as part of our Steampunk services. In order for all participants to enjoy these events there has to be a basic code of conduct for participation. These policies outline the expected behavior of participants. Mad raven Productions reserves the right to deny service and to eject any person for any reason at any time and this list of expected behavior is not comprehensive.

 

1. We can and will show you the door.

Participation in a live action roleplaying interactive experiences requires a degree of responsibility to the other participants. Those that prove themselves incapable of responsibly participating will be ejected from events and blocked from online assets of the roleplaying experience. Whenever there is an issue of contention and behavior involved with Mad Raven Production’s events then our staff will attempt to judge the situation fairly but should any person prove disruptive in word or action we will remove them from participation.

2. Remember this is for fun

Live action interactives are more about the telling of a great story than “winning” or “losing”.  The enjoyment of all participants is more likely when everyone focuses on playing a part in something bigger than themselves and producing a fun experience for the whole. We’re all here to have a good time, event staff included. Approaching the entire event with a attitude of mutual enjoyment and fun for everyone rather than for personal victory is at the core of LARP events.

3. All event and venue policies are mandatory

Event polices are in place to be followed. Each event will outline the event and venue policies at time of registration, there is always a safety guideline briefing included in the event schedule, and you are expected to sign a form acknowledging the policies in place to participate. Signs and rules posted by the venue are similarly expected to be complied with.

4. Event staff are to be obeyed and informed of issues

Participants are to obey the directives of event staff without hesitation or argument. Event staff are on site to ensure the smooth operation of the event and the safety of everyone involved. Refusing to comply with the instructions of event staff is grounds for ejection from the event and possibly being banned from future Mad Raven Productions events.

Participants who observe a policy or safety issue need to alert event staff immediately out of character as to the nature of the issue and what was witnessed. Safety and Respect issues will be dealt with immediately and corrected by event staff.

5. Understand the setting and theme of the event.

Mad Raven Productions runs live action roleplaying events that cover a variety of subject matter and this can lead to intense experiences in an immersive environment. Participants need to read through event descriptions of the content of the storyline to ensure the subject matter is something you are prepared to experience. Mature and complex themes are a regular part of our events and events are advertised with a content rating.

Likewise, themes and content with no place in the event will not be tolerated. Participants are often allowed to modify certain elements of their Character background and look for their enjoyment with staff approval and all adaptations must have said approval. Introducing content into events that is outside of the theme and setting or found inappropriate for the storyline by staff is grounds for removal from the event.

6. Show all participants and staff respect

Harassment and hate speech will not be tolerated. Promotion of violent ideologies rooted in bigotry will not be tolerated. The exploration of such ideologies and how they fail may be a part of event content but only as dramatic device to examine the fallacy of such views.

Harassment under Mad Raven Productions' policy includes but is not limited to:

· Targeting someone

· With behavior meant to alarm, annoy, torment, or terrorize, and

· Creating reasonable fear in the victim for their safety or the safety of their family or property

· Frequent unwanted phone calls and text messages at all hours

· Following a person, repeatedly showing up at the same place as the victim

· Tracking a person with an electronic device

· Leaving threats, notes, or gifts for a person at their home, in their car, at their desk

· Vandalizing a person's property

· Harassing and stalking using electronic communications: the internet, email, text messages, social networks

· Using improper forms of address in conversation after being reasonably corrected

· Coordinating said harassment or encouraging it.

· Conducting any of the above in a sexual context

 

Harassment issues will be reviewed by event staff and handled immediately. If it’s a simple mistake of address or misunderstood dialogue then the matter will be addressed, proper behavior outlined, an apology will be encouraged, and the behavior cannot happen again. Repetitive “mistakes” in this regard will be met with ejection from the event and most likely a ban from all Mad Raven Productions’ events. Obvious and illegal harassment issues will result in the authorities be contacted. Hate speech and the promotion of hate groups is grounds for immediate ejection from the event and a lifetime ban from all Mad Raven productions events.

 

Any physical contact between participants requires consent. Mad Raven Productions primarily runs LARP events in social settings with no combat element so there are no grounds for physical contact. Participants wishing to pursue a sexual or romantic interest in storyline with another participant’s character must first have the staff observed consent of that participant, said consent may be removed at any time for any reason. If the interest is declined or consent is removed, then that is the end of the matter. Revisiting the issue will result in a warning or an ejection.

 

Everyone at the event is there to have a good time in an immersive experience. Please respect the right of everyone else to have the same good time you want to have.

 

7. Stay in Character

Immersive experiences take a lot of effort by both staff and participants. Even when everything goes smoothly there can be unexpected issue that can break character or interrupt the flow of the storyline. The best tool to help keep this to a minimum is for participants to stay in character and engaged as much as possible. Please refrain from using mobile devices except for emergencies. If you must make use of a mobile device please withdraw to an out of character area and do so with brevity.

8. Absolutely no stunts or dangerous acts

Mad Raven Productions does not offer “full contact” style live action experiences that include things such as padded weapons or Nerf Guns. Our interactives are considered “salon style LARP” in that storyline issues are resolved by the participants using intrigue and subterfuge to solve storyline dilemmas. Our events are social games of the mind not simulated combat and as such there is absolutely no reason to conduct dangerous actions, stunts, or unwanted physical contact with another participant. 

9. Do not attend events in possession of or under the influence of drugs or alcohol

Being in possession of or under the influence of drugs or alcohol while in character is prohibited at our events. Mad Raven Productions commonly has social gatherings in conjunction with LARP events that have alcohol service and allow drinking but drunkenness and unruly behavior while under the influence will result in in being banned from Mad Raven Productions events. The use of mind-altering substances in an irresponsible manner will result in in being banned from Mad Raven Productions events.

10. The use of props is regulated

Fantastic costuming and props are a big part of live action roleplaying, and we encourage participants to craft the costumed appearance that they feel fits their role. However, all props and costuming must be inspected at the start of the event to ensure that they are safe and present no danger to the participants, staff, or venue. Any prop or part of costuming that is deemed unsafe will need to be removed from the event site before participating. If you are unsure about the safety of your prop or costume, then simply contact Mad Raven Productions for consultation.

11. The Story is the Goal

The purpose of live action role playing events is to immerse yourself in a fantastic narrative completely different than normal life. The goal of the entire event is to craft a unique storyline from the combined imaginations of dozens of creative people engaging in creative ways. When everyone involved is focused on interacting in way that tells a great story everyone wins.

12. These rules are interpreted by our staff, not you.

Mad Raven Productions reserves the right to interpret and apply these rules as necessary to protect the safety of event participants and staff while keeping liability for itself and the venue to a minimum. Issues not specifically addressed in the wording of these policies will still be resolved in the spirit of these policies with all decisions made by Mad Raven Production’s event staff being final.

Safety Protocols

Mad Raven Productions takes the safety of event participants and staff very seriously. At all of our events there will be designated Safety personnel on the event staff that are dedicated to monitoring the venue and the participants to address issues as they arise. Every Mad Raven Productions event will include a safety and game play session (usually including breakfast or lunch) to familiarize participants with the venue and a review of how to report issues for resolution. When safety team members or event staff call for a pause in play or the clearing of an area, participants are expected to comply with Safety Team instructions.

Resolving and Reporting Issues

Any issues that arises at an event that involves a crime or possible criminal activity then participants are expected to call 911 immediately. If there is a safety issue result in serious injury then 911 should be called immediately. Event staff can be  

Participants may report issues via electronic means before an event that they have experienced online, via telephone, or in person with another participant that has violated Mad Raven productions event policy. Copies of correspondence and screen shots of offending material should be included when dealing with internet-based issues. Violating event policies before the event may result in being ejected from the event and all electronic media associated with it before the event even happens. Please be responsible when working with others.

Participants having safety issues during an event should alert Safety Team members and event staff as soon as possible for their own welfare and that of other participants.

Participants experiencing a conflict issue with the behavior of another participant are encouraged to attempt a good faith effort to resolve the issue politely between themselves as not to slow down the event progress if possible. If both participants are abiding by the event policies and have the best interests of the event in mind, then resolution should be simple and not too uncomfortable.

Example:

(Participant makes out of character signal) “Excuse me, I hate to break character, but you’ve misidentified my character’s pronouns a couple of times. I’d just like you to know this character is a non-binary vampire aged past the concepts of gender. If you could avoid using that pronoun I’d appreciate it, thanks.”

(Participant responses with out of character signal) “Oh I’m so sorry. I clearly made a wrong assumption. I never intended to be disrespectful. I do love your portrayal of your character. I’ll make sure to get it right for the rest of the evening.”

A little polite and tolerant conversation goes a long way. Participants are encouraged to err on the side of caution and give the other party the benefit of the doubt.

If the behavior persists or if you feel uncomfortable dealing with the issue yourself then you may contact the event staff and refer the matter to them. Safety Team members are usually the easiest to alert who will then get the proper event staffer to address the issue quickly.

 

Enforcement

Violating event policy has various outcomes based on the severity of the offence and the situations surrounding it. There are four basic tools event staff will use to ensure the enforcement of event policy:

Law Enforcement: Any criminal act will result in law enforcement being contacted immediately and the matter turned over for prosecution. Criminal activity does not get Warnings or simply Banned. If you break the law at our events we will call the cops on you.

Warnings: Safety staff, event staff, and in some cases venue staff may issue verbal warnings for behavior that violates event policy. Participants are not entitled to, nor should they expect a Warning. However, if the policy violation is minor event staff may issue a warning to a participant in the hope to correct the issue. No more than one Warning will ever be given.

Ejection: Participant is ejected from the event with no refund. Violating event policy and endangering the safety of participants and/or the venue is an immediate loss of access to the event with no refund. Ejected participants may not attend any Mad Raven Productions events without permission.

Ban: The offending participant is banned from Mad Raven Productions LARP events for life.

Disclaimer

By purchasing a ticket to a Mad Raven Productions event, you acknowledge and agree that: the game site and any services, implied or explicit, are provided on an “as is” or “as available” basis; Mad Raven Productions, it’s associates, trade names, operations, affiliates, and any partners make no guarantees, warranties, representations or conditions of any kind, whether express or implied, including but not limited to warranties of fitness for particular purposes and non-infringement; and that any such warranties and guarantees are hereby expressly disclaimed;

You acknowledge and agree that Mad Raven Productions specifically makes no warranties that it or any of its events and services, including any content, information, products or services obtained through the use of this site, other event and service-related sites or any of the services provided will be provided in an uninterrupted or error-free manner or that such services or results from such services will meet your requirements or expectations. You acknowledge and agree that Mad Raven Productions that the studio will make a good faith effort to meet reasonable expectations.

You acknowledge and agree that unruly behavior, violation of event safety policies, previous unwelcome behaviors or other activities that are detrimental to the execution of the event will be considered grounds for your removal or banning from the event without a refund.

Refunds and Exchanges

Mad Raven Productions typically only hosts nonrefundable events due to the issues with the financial needs of our venue partners. Refunds are typically only issued in extreme circumstance such as event cancellation or an Act of God. Instructions for receiving a refund will be listed on the event website if made available.

Mad Raven Productions is not obligated to exchange or refund tickets and event passes. If exchanges are authorized Mad Raven Productions will exchange event passes and tickets on a case-by-case basis. Refunds and exchanges must follow the procedure outlined by Mad Raven Productions to receive refunds or exchanges for event tickets and passes.

Scheduling

Mad Raven Productions typically only hosts events indoors but even if an event involves an outdoor element the event always proceeds rain or shine. Events are not refunded due to inclement weather.

Events can be cancelled or postponed by the venue, our partners, or Mad Raven Productions. Events may also be canceled or postponed due to public health and emergency orders by state and local officials. In such cases refunds and exchanges may be possible.

Information Privacy

Mad Raven Productions collect limited information on our participants through ticket sales, online polls and voluntarily given feedback. We use this information to develop future events, advertise to former customers, improve our services for our participants, and develop merchandise. We do not sell of trade your information to third parties.

Limited Liability

You expressly understand and agree that in no event shall this site, including its affiliates and licensors, be liable for any damages whatsoever, including any direct, indirect, incidental, consequential, special or exemplary damages, and any damages for loss of profits, savings, goodwill or other intangible losses, regardless of whether this site had been advised of or could have foreseen the possibility of such damages, arising out of or in connection with:

(a) the use, inability to use or performance of any of the services of this site, or

(b) any unauthorized access to or modification to any of your content or transmissions, or

(c) any other matter relating to this site or any of the services.

 

Release of Liability

By purchasing a event ticket or event pass, you acknowledge and agree to the following waiver:

In consideration of being permitted to participate in any way in activities run by Mad Raven Productions or any of our partners, contractors or associates including, but not limited to, playing or otherwise using the premises, renting, and operating equipment whether rented from or sanctioned by Mad Raven Productions, I acknowledge and agree that I fully understand:

a) There are inherent risks and dangers in the use of props and equipment, participation in live action role-playing activities, and in active play in the venue and at the event.

b) My participation in such activities and/or use of such equipment, rented or otherwise, may result in injury or illness to me including but not limited to bruises, cuts, bodily injury, strains, fractures, partial and/or total paralysis, eye injury, blindness, heat stroke, heart attack, death or other ailments that could cause serious disability;

c) These risks and dangers may be caused by the negligence of the owners, employees, or agents of the studio; negligence on the part of other participants or others present, accidents, breaches of contract of safety rules, forces of nature or other causes; and

d) By my participation in these activities and/or use of equipment, rented or otherwise, I hereby assume all risks and dangers and all responsibility for any losses and/or damages, whether caused in whole or in part by the negligence or other conduct of the owners, agents, officers, employees, or by any other person

I, on behalf of myself, my personal representatives and my heirs, hereby voluntarily agree to release, waive, discharge, hold harmless, defend and indemnify Mad Raven Productions and its owners, agents, officers, employees, associates, contractors and landlord from any and all claims, actions or losses for bodily injury, property damage, wrongful death, loss of services or otherwise which may arise out of my use of equipment or my participation in live action role-playing activities. I specifically understand that I am releasing, discharging and waiving any claims or actions that I may have presently or in the future, for any acts or other conduct by the owners, agents, officers or employees of Mad Raven Productions, including negligence.
